WHOLESALE FULFILLMENT
Shipping & Order Terms
These general terms explain how wholesale orders are quoted, paid, packed, shipped, and handled. Your written quote or invoice may contain additional or different terms.
Last updated: August 10, 2026
1. Minimum order quantities and availability
Minimum order quantities are listed by product type and may be changed or waived in writing. Availability is not guaranteed until an order is confirmed. Products from different sets may be mixed only when approved in the written quote.
2. Pricing and payment
All prices, currency, deposit requirements, balance deadlines, and quote-expiry times will be stated in writing. Accepted payment methods may include Wise, SWIFT bank transfer, and ACH when offered on the invoice. Bank, intermediary, receiving, and conversion fees are the buyer’s responsibility unless stated otherwise. Payments must clear before shipment unless written credit or payment terms are approved.
3. Shipping, insurance, and delivery estimates
Orders ship from Canada using the carrier and service stated in the quote, commonly UPS. Shipping charges and optional insurance are calculated separately unless included in writing. Handling and delivery dates are estimates, not guarantees. Delays caused by carriers, customs, weather, supply allocation, or events outside our reasonable control do not create an automatic right to compensation.
4. Import duties and taxes
Unless the quote expressly states otherwise, the buyer is the importer of record and is responsible for customs clearance, brokerage, duties, tariffs, import taxes, sales taxes, permits, and local compliance. We may provide commercial invoices and reasonable shipment information, but customs decisions and charges are controlled by the relevant authorities and service providers.
5. Packaging and product condition
Products are inspected and packed with additional protection appropriate for international shipment. Sealed trading-card packaging may have minor factory marks or normal cosmetic variation. Any specific condition requirement must be agreed in writing before payment.
6. Inspection, damage, and shortages
The buyer should inspect cartons and contents promptly after delivery. Visible damage, missing cartons, or quantity discrepancies should be noted with the carrier where possible and reported to us as soon as reasonably possible with photographs of the outer carton, shipping label, internal packaging, and affected products. Keep all packaging while a claim is reviewed. We will reasonably assist with an insured carrier claim, but the carrier or insurer decides the claim outcome.
7. Transfer of risk and title
The applicable delivery term, transfer of risk, and transfer of title will be stated in the written quote or invoice. If these points are not stated, the buyer should request clarification before payment. Carrier delays or loss after the agreed transfer point are handled under the selected shipping and insurance arrangements.
8. Cancellations and returns
B2B orders are not cancellable or returnable unless we approve the request in writing. Products procured, allocated, packed, or shipped for an accepted order may be non-refundable, and documented costs or supplier penalties may be deducted. No return may be sent without written authorization and return instructions. Verified shipment errors will be reviewed and resolved according to the facts and applicable written order terms.
9. Pre-orders and allocations
Release dates and expected quantities are estimates. Manufacturers, retailers, and distributors may delay, reduce, reconfigure, or cancel supply. A pre-order does not guarantee the full requested allocation unless expressly confirmed in writing. If we cannot supply confirmed quantity, the affected amount will be handled according to the quote or invoice, which may provide for a refund, credit, replacement product, or revised allocation.
10. Contact before payment
If any shipping, tax, condition, cancellation, preorder, insurance, or risk term is unclear, contact sales@hedleytradingcard.com before accepting the quote or sending payment.
